Inventory Control and Order Fulfillment Manager

GENERAL DESCRIPTION
We are looking for an experienced Inventory Control and Order Fulfillment Manager to join our Supply Chain team in Mississauga. The ideal candidate has prior experience in Order Fulfillment and End-to-End Inventory Management, a can-do attitude, a hands-on spirit, and a lifelong commitment to learning.
This role is responsible for managing the Sales Order Cycle and End-to-End Inventory Control, covering multi-tier and multi-echelon supply chains in a fast-paced, high-growth environment. This role reports to the Supply Chain Lead and oversees a Material Handler.
KEY RESPONSIBILITIES
Sales Order Cycle
- Processing incoming purchase orders by matching them against corresponding sales quotes. Contact customers and/or Sales to resolve any discrepancies or missing information prior to order acceptance.
- Confirm directly with customers the ship-to addresses and requested delivery dates for each order line. Clarify whether the order line quantity will be shipped all at once or in multiple batches. If necessary, split Sales Order Lines by ship-to address and shipping batches with proper Notes.
- Work with the supply chain and cross-functional teams to establish realistic promised delivery dates and communicate them back to the customer. Ensure delivery commitments align with company On-Time Delivery (OTD) and Order Fulfillment Cycle Time metrics.
- Determine whether orders will be fulfilled from in-house stocks, 3PL stocks, conversion, or upcoming supplies. If an order is fulfilled through in-house conversion, coordinate with cross-functional team on the conversion process and record it correctly in the system.
- Execute the fulfillment plan, ensuring that the item tracking information matches both physically and systemically. Maintain Proof of Delivery and Proof of Good Condition documentation for customers’ confirmation, compliance, and dispute resolution. Update customers on fulfillment progress in a timely manner and provide shipment tracking numbers once available. Monitor fulfillment activities and escalate risks to leadership as required.
- Manage the Sales Return Order cycle; ensure compliance with company policies and maintain high customer satisfaction.
End to End Supply Chain Inventory Control
- Ensure adherence to built-in quality standards and the “Quality at Source” principle: don’t accept errors from upstream, perform tasks correctly, and prevent errors from flowing downstream. In case of an error, Stop, Study, and Resolve; escalate promptly if you cannot fix the issue independently.
- Ensure that goods movements (Receive, Positive Adjust, Transfer, Convert, Negative Adjust, Ship) occur in the correct system locations (mirroring physical locations) and are synchronized between system and physical goods movements. Responsible for achieving 100% Inventory Record Accuracy at the item & location combination level.
- Perform picking, packing, picturing, and shipping tasks physically and systemically for in-house shipments. For shipments from 3PL warehouses, perform system postings and issue instructions accordingly. Develop strategies to maximize 3PL warehouse utilization for sales fulfilment or purchase returns. Follow system picking suggestions to ensure FIFO and prevent aged inventory. Perform system negative adjustments at the appropriate locations when goods are issued for consumption by other functions.
- Perform physical and/or systemic movements (Transfer, Convert) to mirror in-house or partner goods movements accurately.
- Manage in-house stock in an organized, neat, and visual manner. Audit 3PL warehouse inventory accuracy and manage associated costs.
- Manage Special Inventory types, including but not limited to: RMA, Quarantine, Quality Block, Engineering Hold, Lab Processing, Environmental Stress Screening, Field Service Reservoir, and Pending Scrap.
- Perform physical and systemic goods receiving (Purchase, Sales Return) for in-house deliveries, and systemic goods receiving for partner locations (Final Assembly Manufacturers, Sub-Assembly Manufacturers, 3PL Warehouses, etc.). Ensure accurate item tracking information is correctly recorded in the system.
- Manage goods-in-transit under JDRF’s title based on Trade Terms for inbound, outbound, or transfer shipments between business partners. Perform one-step or two-step transfers as appropriate.
- Use couriers’ online systems to generate shipment labels, arrange pickups and drop-offs. Manage couriers and customs brokers, including related costs. Ensure timely goods movement in transportation and/or across border shipments. Manage Claims for lost or damaged goods during transportation.
- Plan and execute cycle counts and physical counts across the supply chain, covering all business partners holding JDRF inventory (Sub-Assembly Manufacturers, Final Assembly Manufacturers, 3PL Warehouses, and Goods-In-Transit). Perform physical count of in-house stocks using handheld devices. Record counting results at the correct locations with proper notes and information after reconciliation and approval.
MINIMUM REQUIREMENTS
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field, or an equivalent combination of education and experience.
- 5+ years of experience in order fulfillment, inventory control, or related supply chain roles with strong organizational skills and attention to detail.
- Proficiency with Microsoft Dynamics 365 Business Central or similar ERP systems. Understanding of item tracking mechanisms (Serial Number, Lot Number, Package Number, etc.). Knowledge of how inventory data and order documents interact in MRP run. Understanding of inventory movements, and their valuations on financial books, and how inventory is perpetually tracked in the system.
- Knowledge of inventory marking systems (GTIN, SSCC). Skilled in using inventory handling devices (handheld scanners, label printers). Hands-on experience with goods receiving (purchase, sales return), goods transfer (one step or two steps), goods conversion (production or assembly), goods issues (for consumption), and goods shipping (sales, purchase return).
- Proficiency in Power Query, Pivot Table, Power Pivot, and other advanced Excel tools. At minimum, capable of maintaining reports from these tools; ideally, able to apply them to transform raw data from multiple sources into insights and visualizations for continuous improvements.
- Clear and professional verbal and written communication skills. Ability to work collaboratively with external customers, internal teams, and business partners.
- Strong understanding of Lean Principles, e.g., Quality at Source, Built-in Quality, Eight Wastes, Scientific Problem Solving, and Continuous Improvement.
- Familiarity with import/export protocols, interaction with couriers & customs brokers, and related documentation requirements.
PREFERRED QUALIFICATIONS
- APICS certifications such as:
- CSCP (Certified Supply Chain Professional)
- CPIM (Certified in Planning and Inventory Management)
- CLTD (Certified in Logistics, Transportation, and Distribution)
- Lean Six Sigma Green Belt (or higher) certification.
- Experience working with business partners (customers, manufacturers, suppliers, logistics service providers).
- Familiarity with international shipping, Incoterms, and customs/export compliance.
- Demonstrated success in meeting or exceeding OTD, IRA, and similar KPIs.
